How to prepare your company to work with an employment agency: 5 things for a good start

Need workers for production, a warehouse or a packing plant? Before you start working with an employment agency, prepare the key information about your company’s needs. Clear arrangements will help recruiters look for the right candidates and reduce misunderstandings. Where should you start?

1. Decide how many workers you need and by when

State the number of people, the planned start date and the expected length of employment. It is also worth explaining whether this is a permanent expansion of the team, cover for absences or a seasonal rise in orders.

If workers are to join in stages, prepare a schedule. This will let the agency plan recruitment around your deadlines.

2. Describe the daily duties

A job title is not enough to match candidates well. Explain what tasks they will perform, what tools they will use and what conditions they will work in.

For example: instead of just “warehouse worker”, specify whether the job involves picking orders with a scanner, packing shipments or operating a forklift. Also describe the physical effort and the pace of work.

3. Separate essential requirements from nice-to-haves

Decide which skills, licences and experience are necessary from day one. Separately, list the competences a new person can learn during onboarding.

Also set the required level of language skills and how instructions will be given. Precise requirements make it easier to assess candidates without narrowing the search unnecessarily.

4. Prepare information about working conditions

Share the proposed pay, bonus rules, shift pattern and the location of the plant. Agree with the agency on the employment model and how the conditions will be presented to candidates.

If transport, accommodation or meals are available, describe how they are organised and any costs. Candidates should know the important details before they decide.

5. Agree on how you will communicate and prepare onboarding

Appoint a person responsible for contact with the agency. Decide who approves candidates, how quickly they reply and how they report changes in demand.

Also plan how new people will be received: preparing workstations, safety training and a mentor. Discuss the division of responsibilities with the agency so that each side knows what it is responsible for.

Good cooperation starts with clear arrangements

You can gather the key information in a short description of your staffing needs. It does not have to be long — it should clearly set out the company’s needs and the conditions offered to workers. Update it whenever the deadlines, the number of people or the scope of tasks change.
